Webshop orders automatically in Exact Online: Maxifleur’s ERP integration
Maxifleur uses Exact Online as its ERP and accounting suite. Every webshop order must be correctly registered, including the proper customer data, VAT calculations, product lines, and payment methods. In practice, two issues structurally disrupted the automation. First, the Exact Online API enforces strict rate limits: during high order volumes in peak periods such as Christmas or Black Friday, the connection was temporarily blocked and orders no longer reached Exact. Second, the processing of bundle orders caused issues: bundle components had to be recorded as individual order lines, which complicated the standard bundle logic.
What is Exact Online? Exact Online is a cloud-based ERP and accounting suite widely used by Dutch SMEs. For webshops, a direct integration with Magento is essential: without automatic order synchronization, manual processing steps, accounting delays, and an increased risk of errors occur, especially with higher order volumes.
Younify implemented a smart queuing mechanism that spreads Exact API calls over time, ensuring the rate limit is never reached, even during peaks. In the event of a rate-limit response, the system automatically waits and retries without manual intervention. To address the bundle issues, a mapping layer was built that correctly translates Magento bundles into Exact order lines per component, ensuring the accounting records always provide an accurate reflection of what was sold.
Following the optimizations, the Exact integration runs uninterrupted, even during the busiest periods of the year. Every order is available in Exact within minutes of being placed, including correct VAT processing for all EU countries. The accounting team no longer needs to intervene manually during peaks or after a rate-limit pause.
